The roll-out of v1.19 for cloud sites is aimed to commence after business close, Wednesday 17th May 2023

This new functionality allows an Administrator to configure a User (Supervisor or Manager) so that they can log in and view their own Employee Timesheet, but not allow them to edit or modify it.

The new restriction, if set on the User, will stop modifications of the Employee Timesheet, Time Off, Roster and Profile.

Also, you can restrict multiple Employee's on any given User account.

For example, a Manager is configured with access to all Employees in the Company, this includes the Manager's own Timesheet and a family member's Timesheet. The Administrator can configure the Manager's access so that they can view their own as well as their family members Timesheet (etc), but cannot edit or change anything on these Timesheets (etc). They can still run Transaction Reports for all Employee they have access to - which includes their own Timesheet and their family members.


The “No Self Editing” option is used when the User is configured as a 'Dual login' User and has an Employee Login link to allow them to login to the Employee Self Service portal and as a Manager with the same credentials.

There are two new Configuration User Reports in the system.
These reports are designed to allow Administrators to print a list of Users in the System (Manager and Supervisor logins) for Audit purposes.
As this login information is sensitive data, these reports will only display for Users whose Security Role includes the Security Permission 'Users'.

  • User Detail - displays a page per User with all configuration for that User.

  • User Summary - displays a list of Users with some basic information.


This new functionality allows Pay Code rates to be defined by Employee, where the individual Employee's Pay Code rate is stored in an Employee Custom Field.
The Employee Custom Field is then linked to the relevant Pay Code.
Pay Code rate modifiers are used when calculating the $cost of Pay Codes in the Timesheet, Rosters and Cost Reports.

This new functionality allows an Administrator to configure custom Time Off “Reason Codes”. These allow the User or Employee (via Self Service or the App) to select from a pre-defined list of reasons for the Time Off. This allows for quick, standardised codes instead of, or alongside, the current free-text Time Off Request Reason.

:!: This functionality is relevant to sites using manual Time Off entry. Approved Time Off imports are not affected.
:!: All of the configuration options below apply to the use of reason codes in Time Off and the mobile app.

Define the reason codes in the configuration screen - Configuration | Global Definitions | Time Off Reason Code.

These codes can also linked to a Pay Code so that when the Time Off request is Approved, the Pay Code from the reason code is automatically applied to the Time Off date details (Pay Code can still be manually defined if required).

The reason codes can be anything. If any reason codes are defined in the system, the reason code will be an option in the Time Off screen (and in the mobile app). If no reason codes are defined this field will not display.

The reason code label can be customised in Configuration | System Settings | Labels. This will change the label used in all screens.

If reason codes are configured, the Time Off request reason and reason code can then be defined as disabled, optional or required in the Configuration | System Settings | Global Settings screen.
